The Opportunity

As a Senior Production Coordinator, you’ll report to the Manager, Creative Services and be responsible for assigning production tasks to graphic designers based on established timelines and designer bandwidth. All creative production tasks will route through your role, creating a buffer between the creative team and the rest of Catalina’s operations and sales teams regarding creative submissions. You will need to be an effective communicator with a strong ability to assess multiple tasks and prioritize each from a “big picture” perspective. The role requires you to be a problem solver who can approach situations with empathy and assess tasks objectively in order to effectively maintain balance among the creative team’s production schedule. You day-to-day will involve project management, strategic scheduling, and leadership to optimize the creative workflow and overall quality for Catalina.

Responsibilities

  • Operate as the subject matter expert for creative workflow for every Catalina product while maintaining team norms and protocols.

  • Lead the assessment of incoming print and digital creative requests to ensure all required specs are provided and creative direction is clear.

  • Identify gaps in submissions and drive the collection of missing specifications.

  • If proper specs were not supplied in a creative request, indicate what is needed, and request that those missing specs be provided. Use each of these opportunities to course correct the submission owner by referring to existing job aides.

  • Adjust submissions (if needed) before assigning to the creative team to ensure proper metrics are being captured based on project types and formats.

  • Strategically schedule projects to meet defined timelines and maintain a balanced workload among the creative team.

  • Comprehend Catalina’s products from a creative perspective in order to properly assess each request.

  • As a trusted partner both internally and externally, support and/or lead trainings with cross-functional teams and new designers.

  • Work closely with the Creative Leadership team to stay aligned on expectations in reference to creative metrics, prepare monthly team quality reports and other reports as needed.

  • Meet regularly with the Creative Leadership team to incorporate the needs of each designer’s product development into delegation of creative tasks.

  • Actively contribute to and drive the development of creative best practices and processes. Lead initiatives to enhance creative workflows, ensuring the team adheres to industry standards and innovative practices.

  • Participate in Creative Team meetings.

Qualifications

  • College degree required.  Equivalent professional experience will be considered in lieu of formal education.

  • 3-5 years of experience in project coordination and resource scheduling in a marketing, agency, or production setting.

  • Proven ability to lead and optimize creative workflows and manage complex projects.

  • Demonstrated ability to implement best practices and drive process improvements.

  • Strong knowledge of graphic design terms and file formats for print and digital products.

  • Intermediate Microsoft Excel knowledge.

  • Must be able to work on a Mac.

  • Salesforce experience required.

  • Adobe Creative Suite knowledge required.

  • Ability to absorb new information quickly.

  • A strong work ethic and an ability to innovate and think critically.

  • Exceptional organizational abilities and time management skills

  • Willingness to be a team player and help the team around you.

  • Comfortable asking questions and course correcting self and others.

  • Ability to explain design specs to non-designers.

  • Maintain composure in a fast-paced environment.
