Reporting to the Director of Shared Services, the Billing Operations Supervisor is responsible for the management of customer contracts booking and invoicing processes. The purpose of this role is to increase productivity, automation, improve the quality of internal and external client support, simplify, and standardize global processes. The Billing Operations Supervisor will partner with multiple departments, including Sales, Finance, Media Operations/Services, Legal and Technology to influence the streamlining of the contracts booking and invoicing processes and deliver system application functions that enable these initiatives.

Responsibilities

  • Provide leadership, management and development to direct reports.

  • Develop and retain staff by recruiting, selecting, orientating and effectively onboarding team members.

  • Assist Director in the development and implementation of order-to-cash best practices and department policies, including partnering with international teams for alignment and consistency.

  • Ensure adherence to and compliance with Catalina’s internal controls and accounting policies.

  • Support and guide domestic and international teams in achieving global business process standardization through streamlining processes, improving operational efficiencies, and identifying opportunities to reduce operational costs, as appropriate.

  • Actively participate in the selection of new systems and subsequent implementation; ensure timely testing for system upgrades.

  • Lead the development and maintenance of KPI, metrics and benchmarks.

  • Provide support and guidance to Sales and other teams on complex invoicing issues, and interpreting contractual billing terms, exercising sound business judgment and decision-making skills.

  • Lead the development, implementation, integration and standardization of contracts booking and billing processes and procedures for new and existing products.

  • Guide the Billing Operations team on complex contract pricing setup.

  • Perform independent analysis and review of contract and addenda packets for billing requirements to insure completeness and correctness.

  • Manage the monthly Accounts Receivable close process.

  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

  • Ensure key departmental procedures are documented and cross-trained to ensure business continuity.

  • Ensure accurate and timely completion of department month- and quarter-end and other operating tasks to achieve efficiency, including, but not limited to, timely customer contracts bookings and audits, timely invoicing to customers, month end review of accruals and reports, journal entries and metrics reporting.

  • Prepare, organize and review reports requested by internal and external stakeholders.

  • Notify manager of issues that impact productivity or ability to meet expectations.

Qualifications

  • Bachelor’s Degree required; preferably in Accounting or Finance.

  • Minimum 2 years’ team lead experience and/or prior supervisory experience.

  • Minimum 3 years’ experience in order to cash processing.

  • Proven leadership experience.

  • A willingness to challenge the status quo.

  • Strong verbal and written communication skills.

  • Experience with ERP system and MS Office required; Workday Financials experience is desirable.

  • Global shared service experience beneficial.

  • Exceptional customer and sales support skills.

  • Flexibility and adaptability to rapidly changing environment and policies and procedures, as well as client needs.

  • Knowledge of administrative procedures and systems.

  • Proven ability to learn and successfully apply complex policies and procedures to real-life situations.

  • Ability to work independently and manage time effectively in order to meet team’s goals.

  • High level of integrity, creativity, persistence, and personal drive.
