Office Coordinator - Facilities
This fulltime per week position will be part of the essential Facilities Team. We are onsite Monday through Friday to ensure the needs of our customers, employees are met. We strive to maintain a clean and safe environment with the tools needed for our customers to perform their job. We are the first impression of the company. No two days are alike in this department. Our responsibilities stretch from typical maintenance and new hire sets ups to searching for and assembling cool gifts for Employee Appreciation mail outs. This position will report to the Director of Facilities.
Responsible for administration of building security systems including issuing badges, reporting, and audit compliance
Manages conference room maintenance activities including organization, restocking, AV equipment management
Assists the Facilities Manager in space planning and configuration projects
Oversees coordination of off-site document storage and execution of corporate destruction policies & reporting
Assists with planning and execution of company events including quarterly employee meetings, holiday parties, employee relations & special events
Partners with Procurement and vendors in order to effectively assist in the ordering process through delivery and troubleshoot issues
Shares best practices with team members to enhance the quality and efficiency of support within department
Support the consumer fulfillment process by: utilizing internal systems to quality checking files, print offers and letters and preparing them to be posted for mailing.
Contributes ideas and innovations to improve upon existing systems, work processes and procedures
Daily scrutinization of the facility with proactive resolve of issues that could decrease employee productivity, functionality & their safety
Helps support facility specific cost savings targets to contribute to achieving significant savings
Cross train in multiple areas within the Facilities department (mailroom, assisting with workstation reconfigurations, setting up meetings & conference calls, etc.)
Serves as the point person for employees with facilities requests
Works daily on service request queue (software systems) for inputting facility service tickets
Willingness to work after normal working hours as needed for special projects or events
Organizes and minimizes storage room inventories on a regular basis
Serves as back-up for Corporate Receptionist daily for meal and breaks and covers if the Corporate Receptionist is out of office
Ensures new hire locations are set-up completely and cleaned prior to occupancy
Completes furniture inventories of furniture that needs to be repaired or cleaned
Monitors furniture needs, orders office supplies, keeps all office supply & first aid areas stocked
Performs light maintenance duties when needed
Performs all other duties as assigned
Full time 40 hours per week
High school diploma or equivalent required.
4+ years in a business environment
Office maintenance/management experience required.
Basic experience using computer software, MS Office Suite
Event Planning experience preferred
Detail oriented with strong organizational skills
Critical thinking/problem solving skills
